M09 Claims priced by policy

Expense claims priced by policy, not typed in.

Reps file conveyance, daily allowance and travel claims from the phone, and the rate on every line comes from a fare chart your admin sets — so a car claim is priced at the car rate and a June line at June's rate. Policy checks flag what a manager should look at; leave requests show which planned visits they take off the plan before anyone approves them.

/01 — What it does

One fare chart. Every claim reads from it.

The rate is set once, by an admin, from a date — and the claim form, the policy check and the approval all read the same figure.

/01

An admin-set fare chart

Per-km rates by bike or car and daily allowances for HQ, ex-HQ and outstation, each effective from a date. A mistake is withdrawn, not quietly edited.

/02

Priced on the server

Distance × the per-km rate and days × the daily rate, on the line's own date. The phone previews; the server decides.

/03

Flags on the line they're about

Over-distance, backdated, duplicate, missing receipt, conveyance with no visits that day — shown to the manager beside the line, never used to auto-reject.

/04

Distance from check-ins

Straight-line distance between the day's verified check-ins, shown as a floor beside the claimed kilometres.

/05

Leave with balances

Apply, attach a certificate, and see the balance. Rejecting a leave or a claim needs a reason the rep can read.

/06

Coverage impact

Before approving leave, the manager sees the planned visits it removes — including the tier-A doctors.

/02 — How it works

From the last call to an approved claim.

A claim filed the evening it was incurred, reviewed the next morning, with the policy reading done before a person opens it.
